Cancellation Policy

Effective Date: Date of Safari Booking

Policy Overview:

At Undugu Safaris, we understand that plans can change. We work hard to create exceptional tailor-made safaris for every guest, and we strive to be as flexible and understanding as possible when unexpected circumstances arise.

Because many of the lodges, camps, charter flights, and other travel services we secure on behalf of our guests require advance deposits and often have their own cancellation restrictions, the following cancellation policy helps protect both our guests and our company from financial loss.

We strongly recommend that all guests purchase comprehensive travel insurance that includes coverage for trip cancellation, interruption, medical emergencies, and travel delays.

Booking Deposit:

A deposit of 20% of the total safari cost is required to confirm a booking.

Guests may cancel within 14 days of making their booking and receive a full refund of their deposit, provided no non-refundable supplier payments have already been made on their behalf.

After the 14-day grace period, the booking deposit becomes non-refundable.

Cancellation Window + Charges:

  • More than 180 Days Before Departure:
  • The booking deposit is non-refundable. Whenever possible, Undugu Safaris will work with our suppliers to recover any additional funds paid beyond the deposit. At the discretion of Undugu Safaris, the deposit may be converted into a future travel credit valid for up to 24 months from the original departure date.
  • 90 to 179 Days Before Departure:
  • 30% of the total safari cost will be retained.
  • 60 to 89 Days Before Departure:
  • 50% of the total safari cost will be retained.
  • 30 to 59 Days Before Departure:
  • 75% of the total safari cost will be retained.
  • Less Than 30 Days Before Departure:
  • 100% of the total safari cost will be retained.

Note: No refunds will be made for any missed services.

Future Travel Credit:

Where supplier policies permit, Undugu Safaris may offer a future travel credit in lieu of a refund. Travel credits are valid for 24 months from the original departure date and are non-transferable unless otherwise approved in writing.

Unused Services:

No refunds will be provided for unused accommodations, activities, meals, transportation services, or any portion of the safari that a guest chooses not to utilize.

Travel Insurance:

Undugu Safaris strongly recommends that all guests purchase comprehensive travel insurance immediately after booking. Travel insurance can provide protection for cancellation penalties, medical expenses, emergency evacuation, lost luggage, and other unforeseen circumstances.

Unexpected Circumstances Beyond Our Control:

Undugu Safaris is not responsible for cancellations, delays, changes, or disruptions caused by events beyond our reasonable control. These may include, but are not limited to:

• Natural disasters
• Severe weather
• Floods, wildfires, or earthquakes
• Government travel restrictions
• Border closures
• Political unrest or civil disturbances
• Epidemics or pandemics
• Airline disruptions or transportation failures
• Strikes or labor disputes
• Other unforeseen events that make travel impossible or unsafe

In these situations, Undugu Safaris will work closely with our guests and travel partners to find the best possible solution, including rescheduling services or applying available supplier credits where possible.

Any refunds will be subject to the cancellation policies and refund terms of the lodges, camps, airlines, and other suppliers involved in the safari.
